Back-office operations for contractors

The operating system your construction business can actually run on.

We build your back office around how you run jobs, then put a construction-trained Operator in the seat to run it. Built in the software you already use.

An Operator for your back office, not your excavator.

Sound familiar?

Does any of this sound like your week?

Every line below came out of a real conversation with a contractor who now works with us. Their words, not ours.

01

I'm the bottleneck. Of the thirty to forty things I do in a day, only three or four are where I belong.

“If I'm not the one doing it, it doesn't get done.”

02

I worked the week, worked the weekend, and still fell behind.

“I put in sixty hours and I'm still buried on Monday.”

03

I know I need systems. I'm not the one who's going to build them.

“I'm not gonna sit down and build the whole thing out myself.”

04

I hired help, but training and managing them became another job.

“Now I spend half my day telling somebody else what to do.”

05

JobTread is the right tool, but I'm stuck in the weeds and call someone every time.

“I have to call my guy every time I do something.”

06

My clients are high-end, and I never want the back office to look like amateur hour.

“These people are paying top dollar. It can't look sloppy.”

What we do

What does ConstructAid actually do?

Most people think they need software set up. They need someone to run it. At ConstructAid we do three things, in order.

Map·Build·Run

Our process

Step 01 · MAP

Map how your business runs

We trace how work moves through your company — leads to closeout — and find where it leaks time and money.

Why it matters: Consultant checklists die in a drawer. We map what you'll actually use.

Step 02 · BUILD

Build tools to support your process

Templates, schedules, budgets, cost codes, client updates — built inside the tool you already pay for.

Not a generic setup. We've seen contractors pay 10k+ for a build nobody used. It only counts if it's used.

Where we're different
Step 03 · RUN

Place an Operator to run it

A construction-trained Operator who speaks contractor works your workflows daily — bills entered, subs chased, clients updated.

The receipts: Operators are running contractor back offices right now, from a network of 1,000+ vetted candidates.

Map · Build · Run. Run never ends. That's the job.

Explore how we help: construction virtual assistant, JobTread setup & management, and back-office support.

Building something is easy. Adopting to it is the challenge. That gap is exactly what we close.

I just want someone who can run it for me.”

Read P. · on why he called us

Why we're different

Built for construction, start to finish.

If you've tried general admin support before, you know the gap: a system nobody adopted, or help that needed more direction than the work saved. Here's how we're set up differently, with the receipts.

We own the run, not just the build

Setup shops hand you a system and leave. We stay in the seat. Your Operator works your workflows every single week, so the system actually gets used.

Proof“Freedom.” That's the one word Ciro used for it. He can put the work down and trust it's still moving. Ciro C., Cascella & Sons

Construction-trained Operators who speak the work

Change orders, draws, COIs, submittals. Your back-office Operator knows what they are and why they matter. No explaining the industry to your own admin.

Proof“What I can't teach is experience.” You shouldn't have to. Ours come trained on contractor workflows before day one.

We do it with you, not for you

You stay the owner. We build around how you actually run jobs, then hand the repeatable work to your Operator. You keep the decisions, lose the data entry.

ProofBen's pre-con timelines improved and closings got tighter. “The craft gets you the work, the systems keep the business moving.” Ben Nantell, Stillcraft Bld Co.

No bloated setup fees, and we handle HR and payroll

No big setup fee up front. A flat monthly, month-to-month on Jumpstart. Your Operator is on our payroll, our HR, our management. You keep the decisions and lose the overhead.

The team

The team behind your Operator

You're not hiring a software vendor. ConstructAid was built by people who ran real construction projects, project managers and tradespeople from high-end design-build, with backgrounds in operations systems and team leadership. Every Operator we place is trained by that team and backed by it, so you get a person in the seat and a bench behind them.

The offers

How much does a ConstructAid Operator cost?

Straight numbers, no hidden setup fees. Each offer is built around who you are, not a feature list. Every one starts with the same low-pressure call.

Most start with Jumpstart to build it, then move to an Operator to run it. Specialist is for a specific gap.

Specialist Operator

“General ops support isn't enough for your gap.”

$3K to $5K/moPRICED BY ROLE

A specialist for one specific gap: estimating, pre-construction, design liaison, multi-division, or automation.

  • Preconstruction, estimating support based on a proven track record backed by our team
  • Architect/designer level skill set with prior drafting experience and a related educational background
  • Multi-project or multi-division oversight for larger businesses that need someone with experience at scale
  • Automations, reporting builds, and team oversight
  • Experience on the tools, managing crews, or utilizing industry software before we even train them

“Estimating is the disaster, because everything is built off of it.” If that's you, this is your tier.

Our commitments

  • Month to month, no lock-in. Cancel anytime, and everything we build is yours to keep.
  • First payment refundable. If your first 30 days don't deliver the value we promised, we refund it.
  • Free operator re-placement. If an operator isn't the right fit, we replace them at no charge, for as long as you work with us.
  • A team behind every build. Your work is backed by our U.S.-based, construction-trained team, not a lone contractor.

What is running your own back office really costing you?

You're already paying for this work. The only question is who does it, and at what rate.

Option 1 · Keep doing it yourselfNights + weekendsOF OWNER TIME

Hours of admin every week at owner-level value. Paid in late nights, missed bids, and weekends you don't get back.

Option 2 · Hire an in-house$6k to $8k/MO PLUS BENEFITS

You recruit, train, and manage them. If they quit, you start the search over.

Option 3 · ConstructAid Operator$3,000/MO FLAT

Construction-trained, JobTread-fluent. We handle the hiring, HR, payroll, and coverage.

Quick math, and it's your math to run. Take what an hour of your time is worth, multiply it by the admin hours you put in every week. Whatever that number is, that's the rate you're paying yourself to enter vendor bills. An Operator costs $18.75 / hour flat and gives those hours back to bidding, building, and hiring. The work that actually grows the company.

Who it's for

Who is a ConstructAid Operator a good fit for?

No hard sell here. Check yourself against the list, same as we would on the call.

You're a good fit if

  • You're an owner-operator GC, remodeler, design-build, or investor renovator.
  • You use JobTread or want to implement proper systems
  • You're the bottleneck, and you know it. Nights, weekends, forty tasks a day
  • You know you need systems and you know you're not the one to build them
  • Your clients are high-end and the back office needs to match the craft
  • You want margin points, not just more revenue to chase

Sounds like you? Then the 20 minutes will be useful, whether you hire us or not.

Probably not a fit if

  • You're looking for the cheapest possible task-doer, not someone to own outcomes
  • You're not willing to hand off real work. We can't fix a plate you won't clear
  • You do not have systems and don't want to improve your process
  • Nobody on your side can spend an hour a week with us during the ramp

If that's you today, no hard feelings. Take the Offload Plan below, it's free and it'll still help.

FAQ

Questions contractors actually ask us

What does ConstructAid do?

ConstructAid fixes how your construction business runs inside JobTread and the tools you run, then places a construction-trained Operator, a dedicated back-office professional, to run it for you day to day. We map your workflows, build them into JobTread, and then our Operator works them every week. Clients typically move 10 to 20 hours a week off their own plate by month two.

What is a ConstructAid Operator, and how is it different from a virtual assistant?

An Operator is a back-office professional (not a heavy-equipment operator) trained specifically on construction workflows: change orders, draws, submittals, COIs, vendor bills, client updates. A generic VA or virtual assistant completes tasks you assign. An Operator owns outcomes inside your systems, which is why we call it the execution layer, the missing role between the field and ownership.

The difference is scope. General assistants are hired to execute the tasks you hand them; an Operator is trained on construction workflows up front and takes ownership of them inside your systems.

Compare a VA, an in-house admin and an Operator side by side — who trains them, who manages them, and what each costs.

Do you work inside JobTread?

Yes, JobTread is where we live. We're a JobTread partner and we're listed in the JobTread marketplace. We build your templates, budgets, schedules, and client updates inside JobTread, and your Operator runs them there daily. Software organizes information. Systems organize behavior. We bring both.

Still comparing your options? See who can set up JobTread for you — the four routes, what each costs, and how to vet one.

What if we do not use JobTread?

JobTread is where we go deepest, and we work across the tools you run. We are a JobTread partner and it is our named specialty, but the outcome we sell is a back office that runs, not one platform. Plenty of our clients are on something else entirely. Book a call and we will walk through your existing stack and how we would run it.

How fast do I see results?

Clients typically move 10 to 20 hours a week off their own plate by month two. Here's a simple test: if you disconnected for 3 days today, what would stall? By month two, the answer should be "a lot less."

What if the Operator isn't a fit?

We re-place at no charge, and we will never push a placement that doesn't fit. We manage, train, and back up every Operator we place, so a swap is our problem to handle, not another hire for you to make. We draw from a network of 1,000+ vetted operators, so a re-match is fast. On top of that, your first payment is refundable if you see no value in the first 30 days.

How much does it cost?

Operations Jumpstart and Operator Placement are each $3,000 per month. Specialist Operators run $3,000 to $5,000 per month depending on the role. For comparison, an in-house admin typically costs $6,000 to $8,000 a month plus benefits, so most clients see 50%+ payroll savings. No setup fees on any tier.

Who is this NOT for?

Contractors who want the cheapest possible task-doer, aren't on JobTread and dont plan to use proper systems, or want software configured but intend to keep running everything solo. Admin debt, the pile of operational work no balance sheet shows, only goes away when someone owns the workflows. Check the fit list above. If the right column sounds like you today, start with the free Contractor Offload Plan. It will still help.

Real contractors. Real Operators. Real results.

Owner-operators who handed off their back office, in their own words. Press play, they said it better than we could.

Curtis & ConstructAid have been fantastic. They have made switching software so much easier for us.
Kenzie WilliamsJul 10, 2026
The team at ConstructAid is great, and we have benefited so much from the operator we hired through them. It was great to have qualified, screened applicants presented rather than having to wade through hundreds of terrible resumes. Further, the help with organizing and streamlining systems has freed up so much of my time as a business owner. I would recommend ConstructAid to anyone in the construction field with enough backend work to distract from the actual work of the business that you want to be doing as an owner.

I've had a great experience working with ConstructAid. Their team has been an excellent resource in helping us improve the way we use JobTread, and the level of support they provide has consistently exceeded expectations. They have done an exceptional job taking the time to understand how our company operates. Their knowledge of both JobTread and construction workflows has allowed them to provide practical solutions that have made our processes more efficient and easier to manage.
Aaron JamesJun 24, 2026
ConstructAid has been an outstanding partner for our team. Zac, in particular, has taken the time to develop a clear understanding of both our business workflows and how we utilize JobTread, which has made a tremendous difference in the value and effectiveness of his support. Rather than offering generic solutions, Zac consistently approaches challenges with a deep understanding of our operational processes, helping us streamline workflows, improve efficiency, and maximize the capabilities of JobTread within our organization. The level of professionalism, responsiveness, and expertise that ConstructAid brings to every interaction is exceptional. We greatly appreciate the partnership and highly recommend ConstructAid to any company looking for knowledgeable guidance, workflow optimization, and expert JobTread support.

Been using ConstructAid to help us with our construction business and it has been a game changer! It's extremely beneficial in teaching us how to properly utilize Jobtread more effectively. Very pleased!
Ben RayApr 30, 2026
I've been using JobTread through ConstructAid and I can't say enough about the level of support we've received. Zac has been incredible — he checks in regularly to make sure we're getting the most out of the platform, and whenever I reach out with a question he responds quickly and gets us taken care of right away. It's rare to find someone who is both proactive and responsive. Zac doesn't wait for things to go wrong — he stays on top of us in the best way possible to make sure everything is running smoothly. ConstructAid has genuinely made our JobTread experience so much better. If you're on the fence, the customer service alone is worth it. Highly recommend!
Omar BernabeApr 29, 2026
I run a luxury fix-and-flip operation in Scottsdale, AZ and was at a point where I needed to get out of the day-to-day admin work. Zac took the time to understand my business, my workflow, and what I was actually trying to accomplish before placing anyone. It wasn't a rushed process, we had multiple conversations over a few weeks to make sure it was the right fit. My Operator not only picked up JobTread quickly, but helped me build out a system, schedule, and budget structure to help streamline and simplify my process. Zac stays involved after placement too, which makes a big difference. This isn't a “here's your VA, good luck” situation. There's real structure and ongoing support behind it. If you're a contractor trying to build systems that actually run without you, ConstructAid gets it. Highly recommend Zac and the team.
